Scope (Key Responsibilities):
Ensure organization of office work – systems, methods, procedures, documentation and communication to achieve maximum operational efficiency, and customer satisfaction in an atmosphere of high employee morale
Systems/Operations:
Organizes the office work and documentation to facilitate quick referring and derivability to ensure operational efficiency
Prepares accurate, error-free transcription (typing, drafting, etc) as per specifications
Coordinates information flow and feedback management for maximizing customer satisfaction and operational efficiency
Updates the technological upgrading of communication and documentation systems to maximize operational efficiency
Schedules and streamlines appointments, visits and meetings as per specifications
Recommends improvements in methods, systems and procedures to improve efficiency and maximize customer satisfaction
Ensures prompt, reliable dispatch and transmission of information and documentation
responsible for organizing the office work and documentation, coordinates information flow and feedback management for customizing guest satisfaction, schedules and streamlines appointment, visits and meetings as per specifications. Quality Assurance in-charge. In addition conducting Manager on Duty 3 times on monthly basis as well as Executive Committee member

Job Definition:To plan and organize, develop, coordinate and administer all public relations activities of the resort operation. Coordinate the well fair of all the VIPs, meeting with VIPs, checking on the familiarization trips, and coordinate with welcome correspondence of the VIP’s . In charge of the local and international press and with a direct link to MH&R in Switzerland
To prepare a library on any press activities related to the resort
Meet with the VIPs on their coming to the resort or during their stay
Coordination and administration of the FAM trips with a parties concerned in and out of the resort and in coordination with the Amman Regional office
Responsible to organize for the incoming and outgoing corresp9ndence related to the resort operation on public relations
Hiring the services of a photographer for special event
Being responsible to manage and prepare the departmental budget which is an integrated art of sales and marketing of the resort
Preparation and publication of all the in-house PR materials which goes to the guest room and shown on display in the various areas of the resort
In-charge of the communications between the resort and Mövenpick Hotels & Resorts in Switzerland
Meeting with VIP’s, FAM trips, press people or any other designated persons from the office of the General Manager
Making sure that all VIP’s and others will get the correct resort information upon arrival or during their stay
If required to entertain VIP guests or FAMP trips during the pre-arranged meals
In-charge of all printed matters in the resort to be reviewed and assist in preparing new layouts and coordination and seeking approval of the GM or his assistant
In-charge of all the coordination between the various suppliers and resort in the production of any printed materials
Being present when a film or video shoot is held on property with the organizers and between other departments
In-charge for the preparation of the weekly in-house newsletter in the major languages, which which are German, French, English, Arabic, Russian and Italian
Create new concepts and other ideas which are to be introduced to the benefit of public relations in general
Co-ordination to meet up with impart banquet and convention organizers with the assistance of F&B Manager and Catering Department
Assistance on special events in the resort together with the departments in question, e.g holidays, Christmas, New Year and others in press releases and assistance related to guest information
Organizing by-monthly get together with guests for a GM Cocktail Party” together with the Front Office Manager
Reading and reviewing the daily reports
Attending the designated meetings and others as advised
Preparation of the daily logbook of activities fr the day and what is in progress
Preparation of the Sales & marketing budget, where the PR cost and expenses are included.
